PlanRing: HVAC Service Plans

PlanRing is a maintenance plan manager for small HVAC and plumbing shops. It keeps your service plan members, their equipment, tune-up visits, renewal dates and payments together, and a Season Board shows which customers are due for a visit.

Set up your shop's maintenance agreements, book spring and fall tune-ups, record the work done and keep track of membership dues.

WHAT IT DOES

Season Board
Spring and fall side by side, with every member in the week they are due. A card turns amber when its visit window is close to ending and red when the window has been missed. Drag a card onto a week to book the visit, or filter the board by technician.

Members and equipment
Keep each customer's contact details, address, plan, start date and renewal date. Record the equipment at the property: furnace, air conditioner, heat pump, boiler, water heater, mini split. See at a glance which memberships are active, lapsed or cancelled.

Maintenance plans
Create your own HVAC or plumbing service plans with a price, a billing interval, the visit windows promised and what is included. Three starter plans come ready to edit.

Visit records
Open a visit and work through a checklist built from the customer's equipment, using your own checklist lines per unit type. Record readings, filter changes, job photos, recommendations and notes. Capture the customer's signature and share the visit report as a PDF.

Maintenance agreements
Produce a membership agreement PDF with your shop's own terms, the customer's details, their plan and two signature lines.

Payments and dues
Log cash, cheque, card and transfer payments by hand. See this month's and this year's totals, revenue by plan and every payment on record.

Shop reminders
Phone notifications when a visit window opens, when it is close to ending and when a renewal is thirty days away.

PRO FEATURES

Customer signup page
Publish a page in your shop's name where customers choose a plan and sign up online.

Dues paid online
Connect your shop's own Stripe account and members pay through the signup page or a payment link, as a subscription or a single payment. The money goes to your account. PlanRing keeps 1% of what is collected this way.

Club Cards
Give each member a link that shows their plan, the visits done and the next due window, with a button to request a visit.

Member email reminders
Members who agreed to it get an email when a tune-up window opens and when their plan renews.

Team access
Up to three seats: the owner and two technicians. A technician sees the Season Board and records visits.

EXPORT AND ACCESS

Export the renewal list and the payment log as CSV files.

Your shop's records are stored on PlanRing's servers so every seat sees the same board. The app keeps a local copy, shows it while the phone is offline and sends changes when the connection returns.

The app is available in 10 languages. The signup page and Club Cards are in English and Spanish.

TIERS

Standard keeps up to 10 members with the Season Board, visit records and PDFs. Solo removes the member limit and adds shop reminders and CSV export. Pro adds the signup page, dues paid online, Club Cards and three seats. Everything you have recorded stays readable and printable on every tier.
